About the role

We are seeking an organised, motivated, and compassionate individual to join our Haematology team as a Band 4 Stem Cell Transplant and Harvesting Coordinator. This is an exciting and rewarding opportunity to work within a specialist service supporting patients throughout their stem cell transplant journey.

In this pivotal role, you will provide high-quality administrative and coordination support to ensure the smooth running of transplant and stem cell harvesting pathways. You will work closely with clinical teams, patients, donor registries, laboratories, and external partners to facilitate timely, safe, and efficient care.

Main duties

  • Day to day running of the transplantation programme in accordance with the Quality Plan.
  • Act as a focal point for the transplant team. Provide a friendly and professional service; deal with enquiries from a multitude of sources following Trust policies and standard operating procedures. Liaise with GPs, other hospitals, patients, internal medical/non-medical staff and medical/non-medical external staff by a variety of means i.e. face to face/phone/e-mail/letter on a daily basis.
  • Organise individual transplant patient care with the support of the Haematology CNS and transplant team to ensure that all the stages in the pre transplant workup, mobilisation, harvest, line insertion, conditioning and transplantation are performed in line with the Quality Plan to provide a positive patient experience.
  • Update and maintain the Stem Cell Transplantation planning calendar.
  • Communicate effectively with patients, their relatives and carers, ensuring that they receive the required information to enable them to give informed consent and participate in their care delivery.
  • Liaise with the collection facility and stem cell laboratory to enable effective harvesting of patients and supply of stem cells for transplantation.
  • Assist with the confidential management of patient records both paper and electronic ensuring compliance with Data Protection and patient confidentiality legislation.
  • Accurate recording of all paper/computerised patient records, updating and amending information timely and within standard operating procedures.
  • Maintain electronic patient records which are held locally to ensure immediate accessibility for appropriate staff.
  • Confidential management of patient records, ensuring copies of correspondence are stored in the patients records in accordance standard operating procedures.
  • Use initiative to liaise with associated areas to ensure active management of patients and prevention of bottlenecks to treatment.
  • Direct patients to the appropriate health care professional for any enquiry.

Key requirements

  • 4 GCSE's including maths and English at Grade 4 (old grade C) or above.
  • NVQ3 or equivalent in Business administration / or willingness to work towards ILM qualification.
  • Experience of working with confidential materials.
  • Experience of working with filling systems.
  • Experience of good customer or patient care.
  • Experience of working with computer software.
  • Experience of working in an organised and logical manner.
  • Understanding and knowledge of work policies and procedures (Data Protection Act)
  • Experience of office working practices
